Scaling an Empire: The Fractional COO System for Future Doc.

The Visionary & The Friction

Future Doc is a remote educational powerhouse, utilizing over 100 tutors to help students secure medical school placements. While the business experienced exponential growth, the operational logic began to fail under the sheer load of its own success.

The organisation hit a wall of Mission-Drag:

  • Systems Fracture: Essential functions like payroll, quality control, and finance were manual and disconnected, leading to frequent errors and delays.

  • Founder Burnout: The owner was losing their life to administration; the business was running the owner, rather than the other way around.

  • Stalled Expansion: Trapped in daily operational firefighting, the founder was unable to focus on the long-term vision or new profitable ventures.

The Figby Logic

We stepped in as a Fractional COO, not just to build a tool, but to architect the entire backend operational structure. Our goal was to build the business engine required to move the founder from the "grind" to the boardroom.

  • Centralized Business Intelligence: We built a full-stack database system to manage the entire business lifecycle—unifying payroll, finance tracking, and tutor KPIs into a single source of truth.

  • Bespoke Infrastructure: We professionalized the operation by developing custom client portals, website content systems, and standardized course rollout procedures.

  • Operational Autonomy: By automating complex workflows and centralising control, we replaced administrative chaos with a predictable, scalable structure.

The Shift (The Results)

The implementation of high-level strategic logic transformed the owner’s role from operational manager to a true CEO.

  • Founder Liberation: The owner successfully stepped back from daily administration, gaining the freedom to focus entirely on long-term expansion and new ventures.

  • Operational Excellence: The new infrastructure delivered superior tracking and fewer errors, resulting in increased profitability through streamlined processes.

  • Empire Building: We delivered on the core Figby promise: more impact, less admin, and better results.
